Test run #

Before you invite the whole school, play each part yourself with test accounts. An hour of testing saves weeks of confused emails.

Prepare test accounts #

Create one test user per kind of person, each with the same roles and profile as the real person would have:

Test user User type Roles
Test parent Default Parent, Applicant, campus property role
Admissions officer Job Admissions Officer, Admission Records, campus property role
Academic coordinator Job Academic Coordinator, campus property role
Principal Job Principal, Admission Approval, Staff Leave Approval, campus property role
Cashier Job Cashier, Finance Records, campus property role
Teacher Job Class Teacher, All Staff, campus property role
HR manager Job HR Manager, Staff Records, campus property role

Use a second browser, or a private window, to be signed in as two people at once.

Test 1: an admission, end to end #

  1. Parent: open Apply → Admission, fill in the form with test data, upload a sample file, and Submit.
  2. Admissions officer: the application appears under Assigned Tasks. Open it, check the documents, and press Documents Verified.
  3. Academic coordinator: record the test score in Tags, then Assessment Cleared.
  4. Principal: Approve Admission.
  5. Cashier: record the fee details, then Admission Fee Paid.
  6. Admissions officer: add the Admission Number tag, then Admission Number Issued.
  7. Parent: the application shows Admitted, and the History tab shows every step.

Also try the side roads: Return for Correction (the parent answers by note), and Reject Application.

Test 2: a staff leave #

  1. Teacher: Create → Staff Leave Request, submit.
  2. Principal: Approve.
  3. HR manager: fill in Days Approved and Balance After Leave in Tags, then Recorded in Register / Payroll.

Check the rest #

  • Each test user sees only the menu pages and forms they should.
  • Search finds the test tasks for the right people, and not for others.
  • A user of the other campus does not see these tasks.
  • The dashboards and reports count the test tasks.
  • Notifications arrived at each step, and emails if they are switched on.
  • Print gives a clean page for the admission form.

Clean up #

Delete the test tasks with Delete Task (they are hidden, not erased), and lock the test users by unticking Enabled, or keep them for training.
